Create new user

Managers can easily create new users in the user section – simply clicking the button ‘+ New user’ in the upper right of the screen.

Edit existing user

In the user section managers can edit an update existing user. Click on the edit icon (green pencil) and update e.g., name, phone, email, position, department and user role.

Responsible users

All locations/shops can be connected to one (or more) users. This is useful especially when setting up and following up campaigns/projects.

Disable a user

If a user no longer should be able to access Znapio managers can deactivate their user account by setting the status on the user to inactive. The systems keep the submissions and other info. The user can later be reactivated or deleted.

Delete a user

Managers can delete an existing user by clicking the trash bin-icon to the right of the user in user section.

Departments

Users can belong to a department or team. This is useful for projects, filtering and reporting, but also makes it possible to restrict a user to only see submissions within own department.

Reset password

If a user forgets the password the user can renew it from the web solution (or in the apps) by clicking ‘Forgot?’ and type username or registered email. A password reset link is sent to the registered email. If you don’t receive the email, check the spam filter or contact support and we will assist you.

The different user roles

Znapio has 4 main user roles. In addition, there are some custom roles we can set up for special needs.

· Organization Manager - access to everything and can manage users, categories, locations, projects and more. They have also access to all available reports.

· Organization User – can see, comment and like all submissions in the organization. Most Znapio users are organization users.

· Department User – can only see, comment and like submissions from own department or team.

· Personal User - can only see, comment and like own submissions.

Multiple new users

If you want to add multiple users in one batch (like more than 10) just contact Znapio and we will import them directly. We can also onboard new users via SMS or email.

External users

There is a feature for setting up restricted users that e.g. only can access submissions to specific categories. Don’t hesitate to contact us and we will try to help you.

User settings

In the user settings for the web solution users can update their profile and personalize some behavior like e-mail notifications, start page, preferred language and time zone.
